2025-26 Staff Performance Appraisal (SPA) – important dates
Dear Student Affairs Career Staff,
Action Required: Please review your evaluation timeline below and begin preparing your self-appraisal by your applicable deadline.
It’s that time of year again; the annual Staff Performance Appraisal (SPA) process is underway. Our goal is to make this process as smooth and supportive as possible for everyone involved, so please review the information below carefully.
This year we had several pay titles that were accreted into a bargaining unit. If you were policy-covered last year and were accreted, you will be on the July 2025 – June 2026 cycle. A reference table is included below for clarity. With the Student Affairs reorganization we have had several supervisors changing, we are currently updating to the correct supervisor. Please let us know if your job description or supervisor is not correct so we can make the updates.
Accessing the Performance Appraisal Tool:
- The online SPA tool is now open.
- You can access the tool via the Student Life Business Office website under the Human Resources section:
https://slbo.ucsd.edu/hr/performance-evaluations.html - If you are unable to access your appraisal, it may be due to a prior evaluation not being fully completed.
- Please confirm any outstanding actions (such as signing a prior appraisal) and notify your supervisor and me if issues persist.

Evaluation Timelines:
Policy-Covered (Non-Represented):
- Evaluation Period: May 1 – April 30
- Self-Appraisals: Due within 5 days of April 30 (confirm with your supervisor)
- Final Evaluations: Due by June 13
Represented Employees (CX, K6, SX, TX, RP - RESEARCH AND PUBLIC SERVICE PR, SV - STDT SVS & ADV PROF (SSAP))
- Evaluation Period: July 1 – June 30
- Self-Appraisals: Due within 5 days of June 30 (confirm with your supervisor)
- Final Evaluations: Due by July 31
Guidance for Employees
- Begin preparing your self-appraisal early—this is an important opportunity to reflect on your contributions and accomplishments over the past year.
- If you choose not to complete a self-appraisal, please be sure to click “Finalize” in the system to complete your portion of the process.
Guidance for Supervisors
- Schedule individual meetings with staff to review and deliver evaluations.
- Ensure appraisals move through all required stages (Post Review → Discussion → Prep for Signature).
- Confirm employee training compliance prior to submitting appraisals for HR review.
