Each recruitment is unique, but these resources and tips we hope will help you during the process.
Please note: The recruitment process takes about 6-10 weeks beginning when the job description is classified in the library and ending with the offer letter returned from the candidate.

Quick Steps – Recruitment Process for Hiring Managers
When the job posts on the UCSD job board:
- Identify your Screening Committee
- Minimum of 2 members required.
- Training Requirement
- Ensure all committee members have completed "Implicit Bias" and
- "Managing Implicit Bias in the Hiring Process" trainings can be found the UC Learning Center.
- Screen & Score Candidates
- Use HireOnline to screen and score candidates based on the job card criteria.
- Interview Preparation
- Identify and schedule interview committee members and time slots. This should be done when the job is posted for a faster recruitment.
- Reserve rooms if needed.
- Phone Screen Top Candidates
- Conduct a quick 5-minute call to:
- Share details about the position and salary.
- If the candidate remains interested and you are interested invited them to an interview while on the phone (Zoom or in-person).
- Interview & Score
- Interview candidates and score them in HireOnline.
- Salary Review
- Review top candidates with SLHR and determine salary (SLHR will route approvals).
- Verbal Offer
- Make a verbal offer to the selected candidate.
- Formal Offer
- Once the candidate accepts, notify SLHR to prepare the formal offer letter.

Finalize the Job Description
Finalize the Job Description! A recruitment can't begin until the job description is approved and classified in the library. If you do not need to make any changes to an existing job description, please provide the JD number and skip to "Start a Recruitment".

1. Start a Recruitment and Post your Job!
Once the job description is finalized you are ready to begin.
To start your recruitment, please complete the intake form. Provide as much info as you can, we can submit additional information later. You can also schedule time to discuss your recruitment strategy. Below are the steps you will be taking and who will be doing each step, HM = Hiring Manager, SL HR = Student Life HR.

2. Screen Applicants - After posting closes
